Lead Time: Sampling and Apparel Production

Plan your apparel lead time around approvals

A useful lead time starts with a defined product, confirmed specifications and an agreed approval route. Sampling, bulk production and transport are separate stages. Use the timing displayed on the relevant Sew Apparels product page as an initial planning reference, then request a written schedule for your actual quantity, fabric, colours, branding and destination.

This page explains how to read those stages and prepare a clearer timeline enquiry. It does not replace your quotation or promise one delivery date for every garment.

Sampling: confirm the starting point

The current Compression Shirts product page lists a sampling lead time of 10–15 days after confirmed specifications. Treat that as the published reference for that product, rather than a universal commitment for every style.

Before requesting a sample date, provide the tech pack or reference garment, measurement chart, proposed fabric, colours, artwork, trim requirements and intended sample size. Ask which details must be approved before the sample schedule begins. If the brief changes, confirm the revised timing rather than assuming the original date still applies.

Bulk production: separate approval from shipment

The same Compression Shirts page lists 15–30 days at MOQ after pre-production (PP) approval, with timing dependent on quantity. PP approval is the agreed decision to release the specified product for production. A production window should identify its start condition and what the completion milestone means.

Confirm the order quantity by design, colour and size, the approved fabric and trim route, packaging requirements and the final sample or specification version. Ask Sew Apparels to confirm the applicable production schedule in the quotation. Production completion and arrival at your destination are different milestones.

Build a timeline with clear decision dates

For shipment planning, review the ICC guidance on Incoterms® 2020 to clarify buyer and seller responsibilities. Confirm the agreed term and named place in your quotation. The International Trade Administration’s export document overview explains common invoice and packing-list information; check the actual destination requirements with your freight forwarder. These references support transport planning, rather than establishing a Sew Apparels production deadline.

Work backwards from the date you need the goods. Keep separate dates for specification confirmation, sample review, revision decisions, PP approval, bulk completion and dispatch. Add the transport and destination requirements agreed for the order; do not treat a production estimate as an arrival guarantee.

Assign an approval owner on your side. Consolidated feedback is easier to action than several conflicting revisions. Record what changed, which sample or artwork version is approved and whether the change affects fabric, trims, measurements or packaging. Request an updated schedule when an approved input changes.

What to include in a lead time enquiry

Send the product or style, quantity by colour and size, target market and destination, fabric preference, branding method, packaging needs, reference files and required delivery date. State whether the date refers to dispatch or arrival. If you are still developing the product, identify which decisions remain open.

A startup brand can keep the first brief focused by limiting unnecessary variations and naming the essential fit, fabric and branding decisions. Confirm the product-specific minimum and sample terms in writing. A smaller order does not automatically establish a shorter lead time.

Questions to confirm before placing an order

When does the quoted lead time begin? Ask for the starting approval or confirmation milestone and any outstanding inputs.

Are sample revisions included in the initial window? Confirm the review steps and the timing for any revised sample.

Does production timing include transport? Confirm bulk completion, dispatch and destination arrival separately in the order schedule.

Can the published timing be used for another product? Check that product’s own page and request a schedule for its actual construction and quantity.

Request a schedule for your product brief

Use the manufacturing overview to review the development and production workflow. Then send your product brief and required date for a product-specific quotation and timeline. Keep the confirmed schedule with the approved specifications so the buyer and production team work from the same record.
